EXPO 2019/20 - Information for Talk Presenters

Talks will be arranged in parallel sessions in their own virtual meeting rooms. Each speaker will have 15 minutes, including the presentation and the Q&A.  


NOTES ON PREPARING THE TALK

  1. Arrangement of the talk sessions

    • The virtual room of your session will be confirmed 1 week after confirming your application is successful 

    • Presenters should arrive at the virtual room 10 minutes before the session. 

    • The session chair/ helper will give you a signal to remind you 5 minutes before the end of the session. The virtual room will be closed at the exact specified time in order to facilitate participants to attend other sessions on time.
       

  2. Designing your presentation materials

    • The presentation materials can be in any type (slides/ poster/ notes, etc.) that can be shown on the computer screen using the ‘share-screen’ function of the video conferencing tool. 

    • Make sure you have information about the presentation topic, name of the author(s) and affiliation on the presentation materials. 

    • It is suggested to have the content more concise by focusing on a few main points using clear and sufficient graphics. 

    • The acknowledgement of the source of funding (if applicable) should be noted on the presentation materials. 
       

  3. Facilitation

    • You can authorise your colleague(s) to facilitate your session(s) if you have problems to attend. In this case, you are recommended to inform the Expo team about the arrangements as soon as possible
       

  4. Submission of backup of presentation materials to the Expo team

    • It is strongly encouraged that presenters send a copy of their presentation files (e.g. ppt, .doc, .pdf, .jpg) electronically to the working team at expo@cuhk.edu.hk prior to the event. If your files are bigger than 15MB, we suggest you send us the shareable link via your cloud storage platform (e.g. Office 365 OneDrive, Dropbox, Google Drive, etc.). 

 

 

NOTES ON PREPARING VIDEO DESCRIPTION

 

I​t is optional for talk presenters to submit a 3 minutes (max) video, to provide basic information about their work. All submitted videos will be published on the Expo website. 

  1. Length and content

    • The length of the video should be within 3 minutes.

    • Purpose of the video is to give viewer a quick introduction of the work done.

    • No video editing services will be provided to presenters.

  2. Submitting your video

    • Upload the video file on your cloud storage platform (i.e. Office 365 OneDrive, Dropbox, Google Drive…) and email us the shareable link at expo@cuhk.edu.hk.

    • All late submissions might not able to be released on or before the event day.

 


NOTES ON SUBMITTING SHORT PAPER

  • It is optional for successful applicants to submit a short paper (4-6 pages). All submitted papers will be published on Expo website. 

  • The digital copy of the paper should be submitted by 16 July 2020.
